Exhibitor Agreement

This Exhibitor Agreement sets out the terms and conditions governing participation as an exhibitor. By confirming a stall booking, the Exhibitor agrees to be bound by all of the clauses below.

01 General Terms & Conditions

  1. Every Exhibitor will be charged with applicable taxes as per govt norms. It is mandatory to submit the GST certificate and other documents as required.
  2. If the exhibitor contract and duly filled form is not received within 7 days of confirmation or before 2 days of commencement of Exhibition, the stall stands cancelled. Licensee fees paid will be forfeited.
  3. All exhibitors should participate in promotional activities for good visibility and promotion of their products.
  4. The Exhibitors shall not extend beyond the agreed stand size booked.
  5. The allocation and position of space is entirely at the Organizer s discretion.
  6. Exhibitors need to fill the given form in Capital Letters only. Details once filled cannot be changed, including Fascia Name.
  7. Exhibitors will give 1 communication number and email id. All communication through the same will only be entertained by the organizer.
  8. The Licensee Fees charged from the Exhibitors includes the amenities listed below, for exhibiting their products. Any other facilities in addition to this provided by the organizer are complimentary and do not form part of the deal. The Organizer is free to alter or withdraw the same without any prior notice.

02 Operational Conditions

  1. Exhibitors are requested to submit their electrical power requirement in case of heavy load equipment.
  2. Additional accessories should be ordered well in advance. The coordination and payment for the same need to be done directly to the Exhibitor at the venue. The management plays no role in the same.
  3. It is advised that all participants have a cordless credit card machine service of their own. In its absence, Jain Food Festival will provide the same at the cash counter only. The said amount will be paid after deducting 3% + GST swiping expenses within 10 days. Exhibitor should retain the slip to claim the amount.
  4. Exhibitors can display only 1 category of product on their stall. Any additional category, if required, needs written confirmation from the organizer.
  5. Organizer is supposed to market the Exhibition. Any brand marketing on the Exhibition page or by any other means, if done, is complimentary and cannot be claimed in any way as a part of the deal.
  6. Boiled water with 3 boiling points will be available for drinking at no cost.
  7. Violation of this policy may result in eviction from the event without a refund of fees.
  8. Exhibitors must only sell goods specified in their Confirmations.
  9. The Organizer reserves the right to demand the removal from sale of any item deemed unsuitable for the Event without paying any compensation to the Exhibitor.
  10. Exhibitors are responsible for policing the products that they are selling or sampling. It is an Exhibitor s responsibility to ensure that the public are aware of any adverse consequences that sampling products may result in.
  11. Exhibitor should ensure to maintain hygiene standards of the stall at all times.
  12. Stall can only be booked for the entire duration of the event.
  13. If the Event is cancelled by the Organizer, the Exhibitor s booking fees will be refunded in full. The Organizer will not be liable for any other losses or costs incurred by the Exhibitor.
  14. It is the responsibility of each individual Exhibitor and their staff to ensure that their stall is safe — e.g. electrical installations, stability of heavy equipment and articles, and other hazards.
  15. The Exhibitor acknowledges that the Organizer is not responsible nor holds any liability for any financial losses incurred by the Exhibitor, or for any loss or damage of equipment, goods or personal belongings, or personal injury of employees working for or connected to them.
  16. The Organizer will provide security to operate across the Venue as appropriate, but Exhibitors are responsible for the safety and security of their stock, vehicles and stand. The Organizer accepts no responsibility for any loss or damage to Exhibitors equipment, merchandise, vehicles or personal belongings.
  17. Smoking is strictly prohibited within the event site compounds. Any violation of this policy by your staff will result in penalties, and we may request the immediate removal of the responsible staff member from the event.
  18. We do not provide separate parking for stall owners everyone needs to use the common parking areas designated by the Venue.
  19. Paying the balance amount on or before the due date, which is 10 days prior to the exhibition, is the Exhibitor s responsibility. Non-payment of the same can result in cancellation of the stall without a refund of the booking amount.
  20. Upon cancellation of a booking, we will charge a cancellation fee (the Cancellation Fee). Up to 15 days prior to the Event date, 50% of the booking fee will be charged.
  21. Any damage to the Exhibition Venue or to any material of the Contractor will attract damages and penalties to be paid.
  22. Jain Food Festival or any of its staff, management and affiliates DO NOT guarantee any particular number of sales or footfall during the event. All sales transactions are between the stall owners and their customers.
  23. Organizer reserves the right to alter the floor plan at any point of time. Though the space will remain the same, the stall/space location may differ in that case.
  24. Any Exhibitor or staff found creating nuisance in the premises will be terminated immediately without a refund of any fees.
  25. FORCE MAJEURE: Neither party shall be liable for unforeseeable events beyond its control and not due to its fault or negligence, including but not limited to acts of God, war, government regulation, disaster, strikes (except those involving the employees or agents of the party seeking the protection of this clause), civil disorder, curtailment of transportation, or effects of the weather which make it illegal, impossible, or commercially impracticable to perform as originally contracted under this Agreement. The party seeking the protection of this paragraph shall promptly notify the other party at the commencement of the Force Majeure event. If good faith negotiations cannot resolve the problem allowing the affected party to perform, the Agreement may be cancelled without liability to the Organizer.

03 Packed & Live Food Terms & Conditions

  1. The rules & guidelines related to use of raw material, hygiene levels, food presentation & packaging have to be strictly followed. No consideration will be given in the same.
  2. All Exhibitors selling food items, either in live or packed form, should have an FSSAI license, and the same should be displayed in the stall while displaying the products.
  3. Exhibitors must not use aji-no-moto, honey, yeast, etc. in their food preparation.
  4. Exhibitors should clearly display the ingredients of their food on the stall for transparency to visitors.
  5. All kinds of ready-to-sell foods need to be in packed form only. Samples for testing, if required, should be displayed in a decent manner.
  6. The Organizer does not provide extra dustbins for stallholders. Exhibitors who expect to generate a lot of trash should provide their own receptacles and ensure they dispose of all trash at the end of each Event Day in the Event skips provided.

04 Live Food Terms & Conditions

  1. All food items with their quantity and price need to be approved by Management.
  2. A maximum of 3 items can be sold on live food stalls. No beverages can be sold with a food item on the same stall.
  3. Every live food item stall should have the item name, ingredient, vegan specification and price clearly specified on the banner.
  4. Exhibitors are strictly instructed to use fresh food and not use overnight cooked or stored food.
  5. Live food exhibitors are permitted to display & sell a maximum of three (3) food items per stall, which may be replicated in other stalls up to one (1) additional time. Exclusive food monopolies are prohibited at the event.
  6. All drinks, including WATER and SOFT DRINKS, are prohibited from being sold without prior written consent from the event organizer.
  7. Exhibitors are not allowed to use plastic spoons, straws, cups & plates.
  8. Exhibitors will arrange their own cooking equipment as required.
  9. Only electrical cooking is allowed, with prior notification of equipment. Fire cooking will not be permitted at any point.
  10. Every live food exhibitor needs to submit the list of equipment used in their stall.
By proceeding with a stall booking, the Exhibitor confirms that they have read, understood and agreed to this Exhibitor Agreement in its entirety.
